  • Reblog: The enduring appeal of fax -Why it refuses to go away

    As different forms of business to business communication have come and gone over the years, there is one which refuses to go away. In fact, for many industry sectors, it continues to be an essential channel of communication.

    Time and time again, we’ve read articles predicting its final demise.

    Yet fax continues to hold its own, surviving and thriving in certain sectors where other forms of communication don’t provide the same level of simplicity, proof of delivery or, in some cases, levels of security.

    Anecdotal evidence from Japan is that faxing is still very common, and that virtually every office and workplace is equipped with the ability to send and receive faxes. Faxing is still in use for everyday communications such as replying to party invitations.

    We should add at this point that Japan is a special case, with a complex alphabet which makes hand writing messages preferable on many occasions. Perhaps there is even a cultural attachment to the personal aspect of sending a fax, but even so, evidence of the enduring qualities of fax comes from around the world.

    A 2017 survey of German companies with at least 20 employees found that:

    • 70% of respondents said they sent fax messages ‘often’ or ‘very often’
    • Amongst businesses with less than 50 employees, this figure rose to 77%

    The message is clear – if you want to do business with Germany or Japan, you need to include fax in your mix of communications channels.

    Yet this phenomenon is not confined to just these countries. A 2017 IDC (International Data Corporation) survey of senior decision makers in financial services, healthcare, government and manufacturing, across North America, Western Europe and Asia Pacific, found that the use of faxes was actually on the rise.

    • 82% of respondents had seen their use of faxes rise or stay the same compared with the previous year
    • The volume of faxes being sent had risen by 27%
    • Across the 3 regions, the average predicted growth in fax volume over the next 2 years was 25%

    Whilst it might be assumed that the healthcare and legal sectors make more use of faxes due to the paper trail they leave, the projected growth was spread across all sectors:

    • Finance – 20%
    • Healthcare – 25%
    • Government – 27%
    • Manufacturing – 29%

    Other reasons for the ongoing global appeal of faxing are varied:

    Compliance

    Sectors such as healthcare, legal, finance and government demand high levels of data and communications compliance, for example in maintaining a clear paper trail for certain processes and transactions.

    Many jurisdictions only accept signatures on faxed documents as being legally binding, and the fact that sending a fax produces an instant acknowledgement and record of receipt, contributes to the sense of reliability as a communications medium.

    Simplicity

    The simplicity of faxing is also an advantage in sectors such as manufacturing, when getting the right documents signed by the right people in a hurry is frequently advantageous.

    Many businesses still rely on keeping individual copies of receipts, invoices and contracts, and faxing is still the simplest means of ensuring that papers such as these go to exactly the right person, without being lost amongst the avalanche of emails received on a daily basis.

    Security

    Across all sectors, the security offered by faxing can be a huge advantage.

    Faxes can’t be tampered with once sent; nor can they carry a hidden virus.

    This advantage was underlined when Sony Pictures suffered an embarrassing cyber-attack in 2014, during which thousands of private emails were published online. In 2016, the chief executive of Sony, Michael Lynton, revealed that in response to the attack, he now writes out sensitive messages by hand and sends them by fax.

    The handwritten approach may seem a bit over the top for some, but the security and peace of mind offered by faxing is clear.

    Announcing Zetafax 2014

  • Zetafax client update for Windows 8.1

    Information for Zetafax customers using Windows 8 or Windows Server 2012

    We are pleased to announce that the Windows Client Update for Zetafax 2012 is now available for download. This adds support for Windows 8.1 and Windows Server 2012 R2 to the Zetafax Client applications, including the Zetafax Printer.

    Windows 8.1 and Windows Server 2012 R2 are due for general release from 17th October. Windows 8.1 may be installed automatically on some computers via the Windows Update service, so it is important for Zetafax system administrators to act before the release date to ensure their systems are compatible with Windows 8.1.

    Existing Zetafax 2012 systems will not work correctly with the new platforms. A user who upgrades their computer to Windows 8.1 without this update will experience issues including a watermark on faxes which are sent using the Zetafax Printer.

    We advise all customers with Zetafax 2012 to install the Windows Client Update for Zetafax 2012 on their Zetafax Server now, to avoid difficulties if client computers are upgraded to Windows 8.1 in future. The update can be downloaded from www.equisys.com/updates, kindly contact us for the login credentials.

    Customers with older Zetafax systems should upgrade to Zetafax 2012 before installing this update. The Zetafax 2012 upgrade is available without charge for customers with a current Software Assurance contract, by contacting us on the below mentioned contact details.

    The Zetafax Server does not currently support Windows 8.1 or Windows Server 2012 R2. We will be releasing a full update for the Zetafax Server to support the new Windows versions within 60 days of general release.

  • Zetafax 2012 is here……

    Zetafax 2012, the latest version of the award winning fax server by Equisys, has now been released. The new release delivers enhanced tools designed to make administering and using Zetafax even easier.

    Amongst the new features available in Zetafax 2012 is

    • Auto Cleanup, a new tool that reduces manual maintenance overheads by automatically managing disk usage. Through configurable rules such as age and volume of messages, Auto Cleanup enables administrators to set permitted quotas within each user’s Inbox and Outbox folders. Quotas are then monitored by the Zetafax Server and managed in accordance with the rules specified.
    • Delete After Sending a feature that improves the user experience for Zetafax Client users, particularly with systems sending large numbers of faxes. Matching the user experience of popular email clients, user accounts can be configured to automatically remove messages from the Outbox once they have been sent successfully, saving time and improving system performance.
    • A number of client enhancements, many of which have been suggested by users of the software. These include access to the Zetafax annotation tools via the popular Zetafax Client wizard, enabling messages to be both sent and annotated from within common desktop applications, and print enhancements to make filing and retrieval of faxes easier when required.
    • 64-bit API support, enabling Independent Software Vendors (ISVs) and other customers to integrate 64-bit applications with Zetafax quickly and easily
    • Support for a new range of Brooktrout fax boards – update to version 6.5 of the drivers used with Brooktrout fax boards and the Zetafax Fax over IP Connector (SR140 Edition).

  • Divine Intervention via fax?

    This snippet appeared in the Mumbai edition of The Times of India dated August 29, 2011. Goes to show how quick and easy it is to access fax and it was God’s way of answering his devotee’s prayer VIA FAX.

    Faith and diamonds

    In just 11 years, Rama Shah, a Jain housewife from Sion, has created more than 1.5 lakh Ganesha idols, several of them with her eyes closed. Shah, a staunch devotee who boasts numerous national and international records for her talent, says her undying faith in Ganesha has helped several. Only recently, said Shah, it came to the rescue of a Gujarati businessman who had 13 packets full of diamonds with him.

    He was on his way from Gujarat to Mumbai and was accosted by cops in Bandra during a nakabandi. They arrested him as he did not have a valid bill for the diamonds. A local diamond trader known to the businessman then phoned Shah, who is also a mohalla committee member, and sought her help, insisting that his acquaintance was innocent.

    She immediately rushed to the police station where the businessman had been detained for more than 24 hours by now. Though they welcomed her, the cop said he would not be able to release the businessman unless relevant documents were produced. She nodded, stepped out and muttered a quick prayer to her favourite elephant-headed God. In what she calls a stroke of divine intervention, she saw a faxing shop. She decided to call up the shop in Gujarat, from where the diamond trader had made the purchases, and asked them to fax their records for the day. On receiving the document, which proved the businessman’s innocence, the cops released him. The man was deeply overwhelmed and wanted to reward the cops. But Shah, who recently made an idol dedicated to Anna Hazare, insisted that it would not be right to give them cash. “Since he wanted to express his gratitude in some way, I asked him to give them a diamond instead,” says Shah.

  • Nanavati Hospital in Mumbai hits ‘sweet spot’ of faxing with ZetaFax

    Dr. Balabhai Nanavati Hospital, popularly known as Nanavati Hospital is one of the busiest hospitals in Mumbai with 400 beds and employing 1200 people. The TPA (Third Party Administrator) desk was buzzing with activity with relatives of the patients asking for updates on their cashless insurance process requests. The TPA desk was sending and receiving faxes manually and were fraught with the usual paper jams, mixed pages etc. Dr. Mahesh Shirke took the initiative and evaluated Zetafax and went ahead with the solution. The hospital is now saving a lot of time and resources by shifting to Zetafax. The nagging problem of documents not being received in time by TPA Agents stopped after deployment of Zetafax. The TPA desk staff now is less harried and can better allocate their time to more productive activities.
